This policy explains how RAR Timing (“we”, “us”) uses personal data on this website, which publishes start lists and results for swimming meets we time. We follow the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
Who we are
RAR Timing provides timing and results services for swimming competitions. For questions about this policy or your data, email [email protected].
Swimmers in start lists and results
Start lists and results show the information needed to run and report a competition, typically:
- swimmer name, age or year of birth, gender category and club;
- events entered, heat and lane, times, placings, splits and disqualifications.
This information comes from the meet organiser (for example the host club, Swim Wales or Aquatics GB) and from our timing system on the day. The meet organiser is the data controller for competition entries; we process the data on their behalf to produce and publish start lists and results. Publishing results is a normal, expected part of competitive swimming and is covered by the organiser’s terms of entry and the governing body’s membership terms.
Results remain online as a historical record of the competition. If you have a safeguarding or other concern about a swimmer’s details being shown (for example a swimmer who must not be identified), please contact the meet organiser or us as soon as possible and we will remove or anonymise the entry.
Visitors to this website
Server logs
Like every website, our web server records basic technical details of each request (IP address, date and time, page requested, browser type). We use these to keep the site secure and working, under our legitimate interests. Logs are kept for a short period and then deleted.
Analytics (only with your consent)
If you click “Accept analytics cookies”, we use Google Analytics to understand how many people visit and which pages are used, so we can improve the site. Google Analytics sets cookies and collects information such as pages viewed, approximate location, device and browser. The lawful basis is your consent, which you can withdraw at any time using Cookie settings. If you reject or ignore the banner, Google Analytics is not loaded. See our cookie policy for details.
Third-party content
To display the page, your browser fetches some files directly from other providers, which will see your IP address: fonts from Google Fonts, and the App Store and Google Play badges from Apple and Google. These providers do not set cookies on this site through these requests.
Admin area
The password-protected admin area is used only by RAR Timing staff. It uses a session cookie, and records the IP address of failed sign-in attempts for 15 minutes to block password guessing (legitimate interests: security).
Who we share data with
- Meet organisers and governing bodies, as part of running the competition.
- Our web hosting provider, which stores the site and its logs.
- Google, for analytics, only if you consent. Google may process data outside the UK under appropriate safeguards (the UK Extension to the EU–US Data Privacy Framework and standard contractual clauses).
We do not sell personal data or use it for advertising.
How long we keep data
- Published start lists and results: kept as a permanent record of the competition, unless removal is requested and appropriate.
- Server logs: a short period for security, then deleted.
- Google Analytics data: retained for 14 months, then deleted automatically.
- Your cookie choice: 6 months, after which we ask again.
Your rights
Under UK GDPR you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have data erased, or its use restricted, in certain circumstances;
- object to processing based on legitimate interests;
- withdraw consent at any time (this does not affect processing before you withdrew it);
- data portability, where processing is based on consent or contract.
For a swimmer under 13, a parent or guardian can make a request on their behalf. To use any of these rights, email [email protected]. Where the meet organiser is the controller we will pass your request to them and help them respond. We reply within one month.
Complaints
Please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113.
